This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website (Tapify) and use our mobile application (Tapify Sales CRM). Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the site or the application.

We may collect information about you in a variety of ways when you interact with our apps and services. The information we may collect includes:

Personal Data

Personally identifiable information, such as your name, shipping address, email address, and telephone number, and demographic information that you voluntarily give to us when you register with the application.

Device and Permission-based Data

To provide core features of the Tapify Sales CRM app, we request access to the following hardware on your mobile device:

  • Camera & Photos: We request access to your device camera to allow users (sales representatives) to capture selfies for verification purposes before initiating a presentation. Images are securely uploaded to our cloud storage and associated with your account.
  • Microphone: We request microphone access to record audio presentations for quality assurance and training purposes. Audio is only recorded when explicitly started by the user and is securely uploaded to our servers.
  • Location Data (GPS): We request access to your location to verify field visits, check-in locations, and presentation locations. We collect this data to ensure the accuracy of sales tracking and activity logs.

2. How We Use Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the Application to:

  • Create and manage your account.
  • Verify sales activities, locations, and identity using location data and camera captures.
  • Record audio presentations for review by administration/management.
  • Compile anonymous statistical data and analysis for use internally or with third parties.
  • Increase the efficiency and operation of the Application.
  • Notify you of updates to the Application.

3. Disclosure of Your Information

We do not share, sell, or rent your personal information to third parties for their marketing purposes. We may share information we have collected about you in certain situations:

  • By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others.
  • Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including data analysis, email delivery, hosting services (e.g., Cloudinary for media, MongoDB for data), customer service, and marketing assistance.

4. Google User Data & Google Business Profile

Tapify offers optional features that connect to your Google Account. This section explains, in line with the Google API Services User Data Policy, what Google data we access and how we use it. These features are entirely optional — you only grant access if you choose to use them, and you can revoke it at any time.

Sign in with Google

If you sign in or create an account using Google, we receive your basic Google profile information — your name, email address, and profile picture — solely to create and secure your Tapify account. We never receive or store your Google password.

Google Business Profile management

If you connect your Google Business Profile to Tapify, you authorize us, acting on your behalf and at your direction, to access and manage your Business Profile through the Google Business Profile APIs. Depending on the permissions you grant, this may include reading and updating your business information (such as name, address, hours, website and description), creating and managing posts, and reading and replying to customer reviews. We access this data only to provide the management features you actively request within Tapify.

How we use, store and share Google data

  • We use Google user data only to provide and improve the specific features you enable (account sign-in and Google Business Profile management).
  • We do not sell Google user data, and we do not use it for advertising or ad targeting.
  • We do not transfer Google user data to others except as necessary to provide or improve the feature you requested, to comply with applicable law, or as part of a merger/acquisition with equivalent protections — never for unrelated purposes.
  • Humans do not read your Google data except with your explicit consent, to resolve a support issue you have raised, where necessary for security, or where required by law.
  • Google data is stored securely and retained only for as long as needed to provide the feature, and is deleted when you disconnect or delete your account (subject to legal retention requirements).

Limited Use

Tapify's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Revoking access and deleting your Google data

You can disconnect Google from Tapify at any time in your Tapify account settings, and you can review or revoke Tapify's access directly in your Google Account at myaccount.google.com/permissions. When you disconnect or delete your account, we delete the Google user data we stored on your behalf, except where we are legally required to retain it. To request deletion, contact us using the details in the "Contact Us" section below.

5. Data Security

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.

6. Data Retention and Deletion

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. You may request the deletion of your account and associated data (including recordings, selfies, and location logs) by contacting your organization's Administrator or reaching out to us directly.
